This policy explains what personal data Octopus Labs LLC collects through octtopuslabs.com, why we collect it, how long we keep it, and what rights you have.

1. Who we are

2. What this website collects

This website is a set of static pages. It does not use cookies, analytics, advertising pixels, local or session storage, embedded third-party content, or contact forms. All fonts, styles, and scripts are served from our own domain, so loading a page sends no data to any third party.

The only data recorded when you visit is what our hosting provider writes to standard server logs: your IP address, the date and time of the request, the page requested, the referring page, and your browser’s user-agent string. These logs exist to keep the service running and secure. We do not use them to profile visitors and we do not link them to any other information.

3. Information you send us

If you email us, we receive whatever you choose to include: typically your name, email address, company, and the content of your message. We use it for one purpose only — to respond to you and, if it leads to work, to manage that engagement.

We do not sell personal data, we do not share it for anyone else’s marketing, and we do not add you to a mailing list because you contacted us.

4. Legal bases for processing

Where the EU or UK General Data Protection Regulation applies, we rely on the following legal bases:

  • Legitimate interests — operating and securing this website, and responding to inquiries addressed to us.
  • Performance of a contract — where we are delivering services to you or taking steps at your request before entering into a contract.
  • Legal obligation — where retention is required for accounting, tax, or other statutory purposes.

5. Service providers

We use a small number of providers that process data on our behalf, under contract and only on our instructions:

  • Our web hosting provider, which stores this website and its server logs.
  • Our email provider, which transmits and stores correspondence.
  • Standard accounting and payment providers, where a commercial relationship exists.

Because we are established in the United States, personal data you send us may be processed there. Where required, transfers from the European Economic Area or the United Kingdom are made under the European Commission’s Standard Contractual Clauses or another approved safeguard.

6. How long we keep it

Server logs are retained for the period set by our hosting provider, normally no more than a few months. Email correspondence that does not lead to an engagement is deleted when it is no longer needed, and in any case within two years. Records connected to a client engagement are kept for as long as the applicable accounting and tax rules require.

7. Your rights

Depending on where you live, you may have the right to request access to the personal data we hold about you, to have it corrected or deleted, to object to or restrict our processing of it, to receive it in a portable format, and to withdraw consent where processing is based on consent.

To exercise any of these rights, email alex@octtopuslabs.com. We will respond within one month. We do not sell or share personal information as those terms are defined under California law, and we do not discriminate against anyone for exercising their rights. If you are in the EEA or the UK, you also have the right to complain to your national data protection authority.

8. Security

This site is served exclusively over HTTPS. Access to correspondence and client records is limited to the people who need it. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Children

This website is intended for businesses. We do not knowingly collect personal data from anyone under 16. If you believe a child has provided us with personal data, email alex@octtopuslabs.com and we will delete it.

10. Changes to this policy

If we change this policy we will update the date at the top of this page. Material changes will be described in a short note here.
